With the Email module, you write an email from inside a transport order in LiteTMS and attach that order's own documents: a CMR scan, unloading photos, the signature your driver collected, a carrier's invoice or any other file saved on the order. The addresses you already hold for the customer are one click away, the message goes out with your name on it, and replies come back to your own inbox. Every email sent stays with the order. The module is free; each email sent is charged at the standard rate shown in your billing panel.

## The documents are on the order, the email is somewhere else

A customer asks for the signed CMR and the unloading photos before they accept the invoice. A carrier wants the loading references for tomorrow's pickup. The files are already in the order, but the email is written somewhere else: download the documents, open the mail program, look up the address, attach everything again, send.

Afterwards the order shows none of it. A colleague who takes over the job in the afternoon cannot tell whether the CMR went out, to whom, or which version. That record sits in one person's sent folder.

The Email module moves that message into the order, next to the documents it carries.

## Tick the documents you want to send

Open the order and go to the Email tab. Under **Order documents** you see every file saved on the order, newest first, with a thumbnail. Tick a document to attach it, or click its thumbnail to preview it before you decide. Photos and signatures that drivers send from a stop in LiteTMS Mobile are [saved to the order as documents](/en/blog/point-tasks-photo-signature-at-every-stop), so they appear on the same list.

Ticked files move to the **Selected attachments** panel, which shows how much of the limit you have used: up to 10 documents and 10 MB in total per email. If a file you need is not on the list yet, upload it on the order's Documents tab and it appears here.

## Addresses you already have, and any other you type

In the **To** field, pick from **Addresses we already know**. These are the contact people saved for the order's contractor who have an email address, plus the company's own addresses such as office or billing. For anyone else, like a subcontracted carrier, a warehouse or a customs agent, type the address and press Enter.

**Add Cc** puts in a visible copy and **Add Bcc** a hidden one. One email can go to up to 20 addresses in To, 10 in Cc and 10 in Bcc.

## Your name on the message, replies in your inbox

The recipient sees the message from you, shown as "your name via LiteTMS.eu". When they reply, the answer goes to the email address of your LiteTMS account, so the conversation carries on in a real inbox rather than a no-reply address nobody reads.

## Templates and AI for the messages you repeat

Some emails get written several times a week: documents after delivery, a loading confirmation, a request for missing paperwork. Save the message as a template, pick it the next time, edit it when the wording changes and delete it when you no longer need it. With many templates, search them by name or text.

**Improve with AI** helps when a message is unclear or too long. You see the suggested text and can adjust it before it replaces yours.

## Every sent email stays with the order

After sending, the message appears under **Sent from this order**: subject, who sent it and when, the recipients, the text, the attached files and whether it was sent. Click it to open the full message the way the recipient got it, with sender, reply address, every recipient and attachments you can preview.

The same send shows up in the order's activity on the Communication and History tabs, where an Email filter lists only the emails. A colleague who opens the order later can see what went out without asking.

Emails that are not about one particular order have a place too. On the module's own page you search for a contractor by company name to load their saved addresses, or type an address yourself. That page sends without attachments, and its Sent messages list shows every email sent from your company, from the page and from orders.

## Invoices issued in LiteTMS have their own Send button

An invoice kept on the order as a file, such as a carrier's invoice for a subcontracted leg, can be ticked like any other document. A transport invoice you issue in LiteTMS already has its own **Send by email** action on the order's Finance tab. It attaches the invoice PDF for you, and you can add order documents to the same email.

## What it costs and how to turn it on

Email is a free module in the LiteTMS [module marketplace](/en/blog/module-marketplace-built-from-company-feedback). An administrator turns it on, and orders get an Email tab. User roles decide who may send emails and who may only read the ones already sent.

You pay only for the emails you send, at the rate shown in your billing panel, with a monthly free allowance where one applies. One email counts once, however many addresses are in To, Cc and Bcc. If you also need to reach someone by text message, the [SMS module](/en/blog/sms-from-transport-order) works from the same order.

Want to see it on a job like yours? [Contact us](/en/contact) and bring an order with the documents your customers usually ask for. We will show you how they get from the order to the customer's inbox.

## FAQ

### Can I attach any file from the order to an email?

Yes. Any document saved on the order can be attached, up to 10 files and 10 MB in total per email. A file from elsewhere has to be uploaded to the order's Documents tab first.

### Who can I email from a transport order in LiteTMS?

The contact people and company addresses saved for the order's contractor are offered in a list. You can also type any other address, and one email can go to up to 20 addresses in To, 10 in Cc and 10 in Bcc.

### Where do replies to an email sent from LiteTMS go?

Replies go to the email address of the LiteTMS user who sent the message. The recipient sees the sender as your name followed by "via LiteTMS.eu".

### How much does sending an email from LiteTMS cost?

The module itself is free. Each email sent is charged at the standard rate shown in your billing panel, and one email counts once whatever the number of recipients.

### Can I see whether the email was delivered?

You see whether each message was sent or refused by the mail server, both in the order and on the module page. The module does not track delivery into the recipient's inbox or whether the email was opened.

### Can I send an invoice issued in LiteTMS this way?

An issued transport invoice is sent with the Send by email action on the order's Finance tab, which attaches the invoice PDF automatically and lets you add order documents. An invoice saved on the order as a file can be attached in the Email tab like any other document.
