It starts with a document in an email, which the AI import turns into a draft order, and it ends with the order's financial result in the same system. On the way you see the nearest free truck being assigned, a route with planned breaks, an alert when the truck leaves its route corridor, driver updates from LiteTMS Mobile and a Romanian chat message the dispatcher reads in Polish. The screens are illustrative and the data is made up. Order ORD-2026-00127 from Poznań to Rotterdam does not exist, and neither do Nordvik Logistics or the amounts on screen. The layout and button names follow the LiteTMS panel in Polish, which is also the language of the narration and captions. The narrator is a synthetic AI voice, and the video says so at the start and at the end. Below we walk through each step and link to the article that covers the feature in detail, conditions included. ## A document from an email becomes a draft order Orders rarely arrive as a filled-in form. Usually it is a PDF attached to an email, a scan or a message that someone has to retype into the system. In LiteTMS you open Add Order, choose Load order with AI and add the document. One import takes up to eight files: PDFs, images, DOC and DOCX files or EML messages. LiteTMS reads all of it and prepares a draft order (from 0:09 in the video). From 0:14 you see what happens next. Every field shows whether its value was matched to a record in your panel: the customer, the places, the registration plates. Anything the document does not contain is left empty rather than guessed. The order is created only after you review the draft and confirm it. The import works while AI features are switched on for your company, and each import is billed as AI usage. The full story is in our article on [AI order import from documents](/en/blog/ai-order-import-from-documents). ## The fleet's week and the nearest free truck The order calendar gives every vehicle its own row and every order a bar on a timeline, so the whole week of the fleet fits on one screen. An order without a truck waits in the unassigned row (from 0:19). Open it and LiteTMS lists your vehicles. Those with a GPS position are sorted nearest first, by approximate straight-line distance to the order's first stop, and each one shows whether it is free in the time window. You pick the truck and assign it yourself. More in our articles on the [order calendar](/en/blog/orders-calendar-timeline) and [nearest-vehicle matching](/en/blog/nearest-vehicle-matching-order-calendar). ## A route with breaks, and an alert when the truck leaves it When you plan the route, LiteTMS can insert the driver's breaks and rest periods, and the estimated time of arrival (ETA) then counts those stops as well as the driving (from 0:25). It is still an estimate, because traffic and unloading can change the day, but the office gets a better reference than the sum of driving minutes. When the vehicle leaves it, the people you chose get an alert. When it returns, the order's activity gets an entry with the extra kilometres counted. There is one condition: LiteTMS needs positions from connected telematics. Alerts sent by SMS or email are billed like any other message of that kind. That is how [route geofencing](/en/blog/route-corridor-alerts-extra-kilometers) works. ## The driver, the chat and the money on the same order The driver reports each stage in the LiteTMS Mobile app with one tap at the stop (from 0:37). Every status lands on the order as an event with its time. Tasks attached to a stop, such as photos of the goods or the recipient's signature, are done on site, and the office finds them on the order. At 0:43 the driver writes in Romanian and the dispatcher reads the message in Polish. Chat messages and voice notes can be translated into the reader's language ([more on translations](/en/blog/27-interface-languages-184-chat-translations)). The translation is done by AI and billed by usage. For names, amounts and instructions it is worth a look at the original. From 0:45 the order shows the freight rate, the costs and the result in one view. The result is calculated from the recorded and estimated costs, so it is only as complete as the data entered on the order. ## When you need more than the standard setup The video closes with two ways to extend LiteTMS (from 0:49). The first is the [module marketplace](/en/blog/module-marketplace-built-from-company-feedback): you switch a module on, try it during the available trial period and see the subscription price in the panel. The second is [AI Builder](/en/blog/ai-builder-custom-dispatch-tabs). You describe the tab you need in plain words, for example a fuel log with the vehicle, date, litres, amount and a photo of the receipt. The builder prepares a layout that you check and adjust before saving. A custom module has its own price, and generating with AI is billed as AI usage. No. The import prepares a draft, and the order is created only after you check the matches and confirm the draft.
