The Pallet Exchange module in LiteTMS records every pallet exchange as a numbered pallet note. The driver counts the pallets handed over, received and damaged at the dock in LiteTMS Mobile, the counterparty can sign on the phone, and the office gets the note with the order. A ledger then keeps the balance with each counterparty, separately for each pallet type, so you can see who owes you pallets, how many, and on which orders.

The film is narrated in Polish and runs just under a minute.

## Thirty-three out, twenty back

At an unloading dock the driver hands over 33 loaded pallets and should get 33 empty ones back. Twenty come back. The other thirteen stay on someone else's yard, and they only come back if somebody remembers to ask for them.

That is easy when it happens once. It gets hard when it keeps happening, order after order, with dozens of counterparties and several kinds of pallets: EUR pallets, industrial ones, half pallets, Gitterboxes. The paper note goes into a folder, the numbers go into a spreadsheet if someone has the time, and a month later nobody can say who owes what.

The pallet exchange module keeps that record where the exchange happens, on the order, and adds it up for you.

## The driver records it at the dock

On the stop in LiteTMS Mobile the driver taps **Wymiana palet** (Pallet exchange) and gets a counting sheet. The counterparty is already filled in: it is the order's contractor, set by LiteTMS, so the driver never has to pick a company. They add the pallet type they are exchanging and count three numbers: issued, received and damaged.

Signatures are optional and sit on the same sheet: the driver can sign, and so can the person at the dock, who can also add their name. When the driver saves, the exchange goes to the office. If the phone has no signal at that moment, the record waits on the phone and is sent after the connection returns.

## A numbered pallet note with both signatures

Every saved exchange becomes a pallet note with its own number, for example PAL/412/2026, numbered in order within the year. The note lists the date, place, order, stop and driver, both companies, the pallets by type and the damaged ones. The signatures captured on the phone are printed on the signature lines; if nobody signed, the lines stay blank for a paper signature.

The note prints as a PDF in one language. By default that is the counterparty's language when LiteTMS has it, and English while that language is not translated yet; you can also pick any of 41 document languages yourself. If the dock gave you its own paper note, attach a scan or photo to the pallet note and share it with the counterparty as a link.

## The order shows whether the exchange adds up

The **Palety** (Pallets) tab on the order lists its stops in route order. Each stop shows whether its exchange has been recorded and which notes belong to it. A note the driver saved on the phone is there when you open the tab, with no need to reload the page.

At the top, a status card says in one sentence whether the exchange on this order is settled, with a table per pallet type and the order's balance, plus the counterparty's position across all orders. When the cargo is on pallets, the form suggests an exchange of the same number for the same number, and a person confirms the counts.

A confirmed note is never edited after the fact. If the driver mistyped a number, you correct it with a replacement note: LiteTMS saves the new one, cancels the old one and keeps both in the history.

## One ledger, a balance with every counterparty

The **Księga palet** (Pallet ledger) starts with four numbers: pallets owed to you, pallets you owe, damaged pallets in the last 30 days, and orders with an open balance. Below them are two tabs. The first lists counterparties with their net balance, their damaged pallets and a column for every pallet type someone holds. The second lists the orders where pallets issued and received do not match yet, with a link straight to the order.

Balances are never a bare plus or minus number. Each one reads "owes us 13", "we owe 12" or "settled". LiteTMS calculates them from confirmed pallet notes; nobody types a balance in, so it cannot drift away from the notes behind it.

## Damaged pallets stay out of the balance

A pallet handed back broken is not a pallet returned. The driver counts it as damaged, the note prints it in red with a line saying it is recorded for information only, and the ledger shows it in its own column. It never reduces what the counterparty owes you.

## Settle it the way you agree

From a counterparty's statement you record what happened next:

- **Zarejestruj zwrot** (Record a return) when the pallets physically come back,
- **Zarejestruj obciążenie** (Record a charge) when the counterparty pays for the pallets instead of returning them,
- **Korekta / saldo początkowe** (Correction or opening balance) to fix a balance or enter what was owed before you started using LiteTMS.

Each of these is a pallet note too, so the running balance on the statement shows how you got from "owes us 13" to "settled". The statement prints as a balance confirmation to send to the counterparty. A charge note records the settlement; the invoice for it is issued separately. Recording a charge, a correction or an opening balance needs its own permission, so you decide who in the office can settle pallets.

## How to switch it on

Pallet exchange is a paid module in the LiteTMS [module marketplace](/en/blog/module-marketplace-built-from-company-feedback), with a 7-day free trial. You see its monthly price there before you turn it on. If you do not cancel during the trial, the first month is charged when the trial ends. The order tab, the ledger and the counting sheet in LiteTMS Mobile appear once the module is active. You can also find it on our [features page](/en/features#pallet-exchange).

If pallets are a regular topic in your office, [contact us](/en/contact) and bring one order where the exchange did not add up. We will walk through it in the module with you.

## FAQ

### Can drivers record a pallet exchange in the LiteTMS Mobile app?

Yes. On the stop the driver opens the pallet sheet, adds the pallet type and counts the pallets issued, received and damaged. The counterparty is the order's contractor, and both sides can sign on the phone.

### Do damaged pallets count towards the pallet balance?

No. Damaged pallets are recorded on the note and shown in the ledger in their own column, but they never enter the balance with the counterparty.

### Can I enter pallet balances from before we started using LiteTMS?

Yes. Record an opening balance for each counterparty and pallet type. It is a pallet note like the others, so it appears on the statement with its date.

### In which language does the pallet note print?

In one language, by default the counterparty's when LiteTMS has it, and English otherwise. You can choose any of 41 document languages from the print button.

### Is the pallet exchange module free?

No, it is a paid module with a 7-day free trial. Its monthly price is shown in the module marketplace before you switch it on.
